What to expect: your mobile lab visit

Pre-Visit

STEMENTRY INNOVATION LABS staff will schedule a time for a virtual pre-visit meeting with the main contact of your school. The pre-visit is scheduled so that teachers and STEMENTRY INNOVATION LABS staff can discuss parking, Covid-19 policies, scheduling, activities, and expectations. Pre-visits should be scheduled four (4) weeks prior to the school visit. During this meeting, the school’s main contact should be ready to show pictures of the proposed trailer parking space to STEMENTRY INNOVATION LABS, LLC staff. Teachers should come prepared with all questions and concerns.

Pre-Visit Expectations

Attendance: All teachers utilizing the program must be in attendance for the pre-visit meeting
Preparedness: The current menu of laboratory activities will be shared prior to the meeting and teachers should identify activities of interest and bring any questions about the program to pre-visit.
Participation: Schedule development will be left up to participating teachers. It is strongly recommended that all STEM teachers at the school collaborate to create the schedule of classes for the visit. STEMENTRY INNOVATION LABS instructors will provide advice, equipment needs, and logistics recommendations for the proposed schedule.
Readiness: The lead school contact should print all important documents for each teacher prior to pre-visit.
Parking: Parking location will be discussed during the pre-visit. Each school is asked to come prepared with a proposed parking location(s) to the pre-visit meeting.

Participant safety is STEMENTRY INNOVATION LABS, LLC number one priority. STEMENTRY INNOVATION LABS, LLC aims to provide a safe learning environment for students, teachers, and all guests who participate in programs in the classroom and mobile lab. As such, we ask that you help us enforce STEMENTRY INNOVATION LABS, LLC Safety Rules and Regulations. STEMENTRY INNOVATION LABS, LLC will work with schools to follow any additional protocols their school finds necessary to keep our students safe. Each school will receive a copy of STEMENTRY INNOVATION LABS, LLC's Mobile Laboratory Safety Plan prior to their visit. Teachers are required to review and verify that all students have completed the safety contract form before entering the lab.

Guidelines Before Scheduling Mobile Lab Activities

Prior to arranging the STEMENTRY INNOVATION LABS mobile class visit to your school/site, you must schedule a training session for your teachers.
A point of contact person MUST be determined prior to contacting STEMENTRY INNOVATION LABS, LLC. All contact will funnel through the point of contact.
Teachers are responsible for obtaining permission from the principal or site director prior to contacting STEMENTRY INNOVATION LABS, LLC.
The mobile lab is 28 feet long and 20 feet wide. Before a contract can be agreed upon, there must be confirmation that adequate parking and maneuvering space is available. (The ideal space is a large, open space with flat, hard ground.)
The lab will arrive at least 60 minutes prior to its scheduled visit/start time. (If the schedule allows, the lab can be delivered the evening before the event.)
Teachers must stay with their students at all times while in the lab.
Proper lab behavior and safety must be discussed with students prior to the lab visit.
Please collect all SIGNED forms, including permission slips, photo releases, and safety contracts, BEFORE the lab’s visit.

Email Reminders

STEMENTRY INNOVATION LABS, LLC staff will send an email to the lead contact reminding them of the dates selected for their upcoming school visit. At that time, the STEMENTRY INNOVATION LABS team and teacher will work together to select a date for a pre-visit meeting in which all teachers utilizing the program will discuss visit logistics. Pre-visit meetings will be conducted virtually and typically are scheduled four to six weeks prior to the school’s mobile laboratory visit.
